There are ways to manage your time better and actually feel like you’re in control (instead of your calendar ruling your life). Start Your Day with a Plan
Okay, I know this sounds basic, but hear me out. How often do you dive into your day without a clear plan, only to realize hours later that you’ve been busy but not productive? Yeah, me too. That’s why I’ve started taking just 10 minutes in the morning to map out my day. It doesn’t have to be complicated either. I jot down the top three things I have to get done. No matter what else happens, if I get those three things off my list, I call it a win.
Pro Tip: Try using a planner or a simple notepad to write down your top three priorities each morning. It’s amazing how this tiny habit can set the tone for your entire day.

Time Blocking for the Win
Ever heard of time blocking? Time blocking is like taking your to-do list and giving it a home on your calendar. Instead of jumping from one thing to another, you dedicate uninterrupted time to each task, giving it your full attention. This way, you know exactly what you should be working on and when. Time blocking minimizes distractions and makes it easier to stick to your plan.
How it works: You might block out 9AM to 10AM for emails, 10:30 AM to 12 PM for working on a project, and so on. The beauty of time blocking is that it helps prevent multitasking. By time blocking, you focus on one thing at a time, which boosts productivity and reduces mental fatigue. Don’t forget to include buffer time between blocks for breaks or any unplanned tasks that may pop up.
Pro Tip: Take a look at your calendar and block out time for your most important tasks. It might feel a bit rigid at first, but once you get the hang of it, you’ll wonder how you ever managed without it. I use Google Calendar and color code my different time blocks.
The Power of Saying “No”
This one’s tough, especially if you’re a people pleaser (guilty as charged!). But saying “yes” to everything is a fast track to burnout. Learning to say “no” to tasks or meetings that aren’t a priority can free up so much of your time and energy. It’s okay to decline a task that’s outside your role, or even a social event when you’re stretched thin.
This doesn’t mean you have to turn down every opportunity or feel like you’re missing out. It’s about being selective and making sure that whatever you say yes to will help you move the needle in your business. The key is to politely decline and redirect your time to what matters most.
Pro Tip: Next time someone asks you to take on an extra task, pause and ask yourself if it aligns with your top priorities. If it doesn’t, it’s okay to politely decline. You can even say something like, “Thanks so much for thinking of me, but I’m focusing on 'X' right now.”

Take Breaks—Seriously!
I used to think that powering through without breaks was the best way to get things done, but that’s not how our brains work. Your brain needs a breather every now and then. Taking regular breaks is essential for maintaining productivity and avoiding burnout. Studies show that taking short breaks help refresh your brain and keep you focused. So, if you’ve been feeling guilty about stepping away from your desk, don’t. Those short breaks are key to staying sharp and productive.
Pro Tip: Try the Pomodoro Technique—work for 25 minutes, then take a 5-minute break. Repeat this a few times, and then take a longer break. You’ll be surprised at how much more you can accomplish with these little breaks sprinkled in.
Batch Similar Tasks Together
Ever noticed how switching between different types of tasks can slow you down? That’s why batching tasks together is so helpful. Group similar tasks and handle them in one dedicated block of time. This approach helps you stay in a certain mindset, making you more efficient.
Pro Tip: Set aside specific blocks of time to batch similar tasks, like social media scheduling or financial admin. You’ll be able to knock out those tasks quicker and feel less frazzled. If you've already started time-blocking, implementing this strategy with it will be a breeze.

Limit Distractions
We live in a world full of distractions: emails, social media, the endless pinging of notifications. It’s so easy to get sidetracked! One of the best ways to manage your time effectively is to minimize these distractions. Turn off non-essential notifications on your phone and computer.
Pro Tip: If you’re working on something important, consider using an app like “Focus@Will” or “Freedom” to block distracting sites. Don’t forget the powerful “Do Not Disturb” function on your phone as well.
Reflect and Adjust
Here’s the thing: not every strategy will work for everyone, and that’s okay. What’s important is to regularly reflect on what’s working and what’s not. If you find that a particular strategy isn’t helping, don’t be afraid to tweak it or try something new.
Pro Tip: At the end of each week, take a few minutes to review how you spent your time. Did you accomplish what you set out to do? Were there any major distractions? Use this time to adjust your approach for the following week.
